Short Project Description

The Wedding Planner Management System is a web-based, database-centered application designed to simplify the organization and coordination of wedding events.

The system allows couples and wedding planners to manage venues, ceremonies, service providers, reservations, guests, RSVP responses, seating arrangements, schedules, and budgets in one centralized platform.

A key functionality is automated availability checking. Before a reservation is created, the system checks whether the selected venue or service provider is already booked for the requested date and time, preventing overlapping reservations and double-booking.

The system also supports guest management through email RSVP invitations, response tracking, and table assignments. Users can track their wedding budget and expenses, while payments to vendors are handled directly and offline.

Detailed Project Description

Who is the project intended for?

The system is primarily intended for couples organizing their own wedding, while also supporting professional wedding planners.

It provides a centralized database for managing wedding information, including reservations, venues, service providers, ceremonies, guests, seating arrangements, schedules, and budget information. This replaces the need to manage information across separate spreadsheets, documents, emails, and messages.

What problems will the system solve?

The Wedding Planner Management System addresses several common problems in wedding planning:

  • Double-booking and scheduling conflicts: The system checks availability before creating reservations and prevents overlapping bookings.
  • Scattered information: All wedding-related information is stored and managed in one centralized system.
  • Manual reservation management: Users can easily create, track, and review reservations and schedules.
  • Guest management: Users can send RSVP invitations via email and track guest responses.
  • Seating organization: Confirmed guests can be assigned to specific tables.
  • Budget tracking: Users can track their planned budget and wedding-related expenses.
  • Human errors: Structured database records and automated checks reduce errors caused by manual planning.

What types of users will the application have?

The main user type is the wedding owner, representing the couple organizing the wedding.

Professional wedding planners can also use the system to manage weddings on behalf of couples. Vendors do not have separate accounts; instead, venues and service providers are stored as records within the system.

The system also includes settings for the names of the couple, which can be used to personalize RSVP invitations sent to guests.

What makes the project different from existing solutions?

While existing wedding planning tools and spreadsheets can store information, the Wedding Planner Management System focuses on actively preventing organizational conflicts.

Its main advantages are:

  • Automated availability checking to prevent double-booking.
  • Centralized wedding management covering reservations, services, guests, schedules, seating, and budget.
  • Integrated RSVP management with email invitations and response tracking.
  • Connection between RSVP and seating arrangements for easier guest organization.
  • Reduced manual work and errors compared with Excel and other spreadsheet-based solutions.

Is the application web, mobile and/or desktop?

The Wedding Planner Management System is planned as a web application.

It provides a centralized interface accessible from different devices, allowing couples and wedding planners to manage reservations, guests, schedules, seating arrangements, and budget information in one place.
